Manager Instructions for the Illinois Icehawks/Trumba Calendar System

 

As a manager, you will be able to add and edit your team’s calendar.  While on the system, you will have access to other teams’ calendar so it is important that you only modify your own.  Any modifications you make will automatically be updated on your calendar on the web for all to see.  In fact, there will be a small icon on the date indicating that an event has changed.  You may also want to print your calendar after it has been posted so you can distribute a hard copy to your team.

 

Please do not give the password to anyone other than Icehawks officials.

Initial entry of your team’s schedule

Because the importing of a spreadsheet is a bit complicated, we ask that you download a pre-defined spreadsheet from the Icehawks website to use as a template and enter the data.  ******** To download, right-click on link below and select “Save target as” ********

You will need to fill in the following fields on the spreadsheet for each event:

 

Team name:

Enter your team’s name at the top

Event Type:

Enter whatever you wish such as game, practice, practice game, team meeting, team party, etc.

Description:

Enter the appropriate description such as Mite Silver Game vs. Falcons, Pee Wee Gold practice.  Please your team name as part of the description.

Date:

Enter the date using the following format: 9/10/06

Start Time:

Enter the start time using the following format: 9:00pm

End Time:

Enter the end time using the following format: 10:00pm

Location:

Enter location or rink such as US Ice Sports Complex, Afton,  etc.

Notes:

Enter any note you wish to be attached to the event such as “defense wear blue”, “arrive 1 hour early”, etc.  You may opt to leave this field blank

 

After you have entered the entire schedule in the spreadsheet, save the file and email it as an attachment to Mark Loewenstein, the webmaster, at webmaster@icehawkshockey.org .  He will confirm back to you when the schedule has been posted.  If you discover any errors, you will be able to edit the calendar once it is posted.  The schedule will be posted within 8 hours in most cases.

 

NOTE!!  Please do not click on anything other than what is described in this document…it could change the published calendar, or even delete your calendar.

 

System logon

-Access the following site to logon:  www.trumba.com

-Click the “Login” button on the top/right of the page

- Username/email address is calendar@icehawkshockey.org, password is hockey

- Click on your team’s name (not the checkbox) on the left border.  Please make sure it is your team by looking at the top/left corner as well as noticing that your team has a black checkmark next to it’s name on the left border.

 

Editing Events


Edit Existing Event

 

Find the event in the calendar view and click on the link.

 

Make any changes you wish

 

Click OK

 

Delete Existing Event

 

Find the event in the calendar view and click on the link.

 

Click “Delete Event” on the bottom

 

 

Add Event:

 

Click the “Add Event” button on top.

 

Enter the appropriate description such as Game vs. Falcons, practice, 30/30 practice, etc

 

Enter location or rink such as US Ice, Afton, etc.

 

Enter start date

 

Enter start time

 

enter duration of event

 

select repeat if applicable

 

Enter optional notes

 

Click OK or “Save and add another”

Note: You may also add an event by going to that day on the calendar and click add
